1. What this policy covers

Auria is a directory where nurses publish a professional profile and list services they can be booked for. This policy covers the information we hold about you when you create an account and build a profile.

It is written to be read. If anything here is unclear, that is our problem, not yours, and we would like to know about it.

2. What we collect

Three kinds of thing, and we keep them separate.

Your account. Your email address, and the times you sign in. We never see your password.

Your profile. Everything you type into the intake and the editor: your name, the letters after it, your licenses and the states you hold them in, your degrees and certifications, your specialties and work settings, where you are based, your headline and biography, your photographs, your links, and the services you offer.

What you agreed to. Each time you agree to something, we record which agreement it was, the date, the exact wording you were shown, and the network address your browser was using. That last one exists so the record stands up if it is ever questioned.

3. What is public and what is not

Nothing is public until you publish it. While your profile is a draft, only you can see it.

Once you publish and we approve, your profile page is public and can be found by search engines. Your name, credentials, state, specialties, work settings, headline, biography and service listings are on it.

These are never public, whatever you do: your email address, your postal code, the renewal dates on your licences and certifications, and your demographic answers. They are not merely hidden. They are absent from the data the public side of Auria can read at all. We do not ask for a licence or certification number anywhere on Auria, so there is no number to keep private in the first place.

Some fields you can hide yourself, including your metro area, your languages, your degrees, your social accounts, your follower counts, and your photo gallery beyond your main picture. Hiding takes effect immediately and does not wait for approval, because hiding something can only ever show less.

4. Research is separate, and optional

Auria asks whether you are willing to be counted in anonymous research about the nursing workforce. That is a separate agreement from using the platform.

Declining costs you nothing. Your profile works exactly the same either way, and we do not treat it as a condition of anything. You can change your mind at any time.

5. Who else handles your information

We do not sell your information, and we do not share it with anyone for their own purposes. Three companies process it on our behalf so the platform can run at all:

  • Supabase, which stores the database and handles signing in.
  • Vercel, which runs the website itself.
  • Resend, which sends the emails we send you.

We would also disclose information if we were legally required to. If that ever happens and we are allowed to tell you, we will.

6. Copies of your profile

When your profile is approved, we save a copy of it as it appeared that day. We keep your five most recent, plus whichever one the public is currently seeing.

This exists so that you keep your old page while we review a change, and so that "what did my profile say in March" has an answer. You can see the list and delete your saved history from your profile editor at any time.

7. Taking your profile down

You can take your profile down whenever you like. Clients stop being able to find you straight away. Nothing you have written is deleted, and you can put it back up. Most people who think they want to leave want this.

8. Closing your account

When you close your account:

  • Your profile comes down immediately and stops being public.
  • You can no longer sign in.
  • Only we can reopen it, so ask us if you change your mind.

Closing is not the same as deleting. Your records still exist. What survives, and why, is section 9.

9. What we keep, why, and for how long

We keep your information for as long as we need it for the reasons set out in this policy, and for as long as the law requires or allows us to keep it. That can be longer than your account lasts. This section says exactly why.

The reasons we keep information after you leave. We keep information where we need it for any of these:

  • To meet a legal obligation, including tax, accounting, audit and record keeping requirements.
  • To bring, defend or respond to a legal claim, including one that has not been made yet but that we reasonably expect.
  • To detect, investigate and prevent fraud, abuse, impersonation, and breaches of our terms, and to keep nurses and clients on Auria safe.
  • To resolve a dispute between you and us, or between you and a client.
  • To answer a court, a regulator or law enforcement where we are required or permitted to respond.
  • To enforce our agreements and protect our rights and property.

What we keep in the ordinary course. Even when nothing has gone wrong, three things outlast your account:

  • A record that you agreed to something. Which version of our terms, and on what date. If there is ever a disagreement about what you signed up to, this record is the answer, and it protects you at least as much as it protects us.
  • The saved copies of your profile. If a client says your profile promised something, these show what it actually said on that date.
  • If we removed your account for breaking the rules: a note of what we did and why, and a scrambled version of your email address.

What a scrambled email address is. It is not your address. It is a string of letters and numbers made from it, and it cannot be turned back into your address by us or by anyone else. The only thing it can do is tell us that a new sign-up is using an address we removed before. We only make one when we remove an account. We never make one when you close your account yourself.

If there is a legal claim, we stop deleting. If a claim is made, or we reasonably believe one is coming, or a court or regulator tells us to preserve records, we keep everything relevant to it for as long as it takes to resolve, even information we would otherwise have deleted and even if you have asked us to erase you. We only keep what is relevant, we only use it for that purpose, and we delete it once the matter is over. If this applies to you, we will tell you.

Backups. We take backup copies so your work is not lost if something fails. When we delete something, it goes from the live platform straight away, and copies of it can remain in our backups for a short further period until those backups are replaced in the normal cycle. We do not use backups to bring deleted information back into the platform.

Counts and reports do not come back apart. Once your answers have been combined with other nurses into a count, a statistic or a published report, what is left cannot identify you and is no longer your personal information. We keep that, and we cannot remove you from a report that has already been published. This only ever applies if you chose to take part in research, and only from the date you agreed.

What we never do with any of it. Anything we keep under this section is used only for the reason we kept it. It never appears in search results. It is never counted in new research. It is never used for marketing. We never sell it and we never share it with other members.

How long, in practice. Most of what we keep has a natural end. Where a law sets a period, such as tax and accounting records, we keep it for that period. Anything we are holding because of a claim is kept until the claim is finished. Anything we no longer need for any reason in this section is deleted.

Two things have no time limit, and we would rather tell you than let you find out. If we removed your account for breaking the rules, the note of that decision and the scrambled version of your email address are kept for as long as Auria exists. The reason is simple. A person who was removed may try to come back in five years or in twenty, and a record that expires stops doing the one thing it is there to do. These are the two smallest records we hold, neither of them is used for anything else, and neither exists at all unless we removed your account.

You can write to us at any time and we will tell you exactly what we hold about you.

10. Erasing your personal information

You can ask us to erase your personal information, and we will. Write to support@goauria.com.

When we do it:

  • We remove your name, email address, photographs, and anything you wrote in your own words, including from the saved copies. We never ask for or store a license or certification number, so there is none to remove.
  • The consent records and the saved copies of your profile stay, and they stay attached to your account. We keep them because we have to be able to show what was agreed and when, and a record we could detach from you would not show that. What we take out is everything in the point above, so what is left is the record of an agreement rather than a description of you.
  • Two things stay, and only if we removed your account for breaking the rules. We keep the note of what we did and why, and the scrambled version of your email address. We keep the note so we can explain the decision if you or anyone else questions it. We keep the scrambled address so the same address cannot open a new account the next day. If you closed your account yourself, we have neither of these and this does not apply to you.
  • It cannot be undone. We cannot restore your profile afterwards, because there is nothing left to restore it from.

One exception: if there is an active legal claim or we are required by law to keep particular records, we pause deletion for those records until it is over, and we tell you that it applies to you.

11. Get a copy first

You can download everything we hold about your profile at any time, from your profile editor. It is one file, and it includes your saved copies and your agreements.

Do that before you close your account or ask for erasure. Afterwards we cannot produce it for you.

12. Email

We email you about your own account: confirming your address, telling you when your profile is approved, and reminding you when something needs attention. Closing your account stops all of it except anything the law requires.

13. Security

Everything travels over an encrypted connection. The database refuses to let one nurse read or change another nurse's records, and that refusal is enforced by the database itself rather than only by the website.

No system is perfect, and we would rather say that than imply otherwise. If you find a problem, tell us at support@goauria.com and we will take it seriously.

14. Nurses only, and adults only

Auria is for licensed nurses. It is not for children, and we do not knowingly collect information from anyone under 18.

15. Changes to this policy

If we change it, we update the date at the top. If a change affects what you agreed to, we will ask you again rather than assuming your old answer covers the new wording.
